Plan a trip with Smart Mountain Guides
Once your trip has been confirmed, you will receive a confirmation email with an invoice and links to the Registration & Release Form and the Medical Information Form. Each participant needs to fill out both of these forms.
THE FINE PRINT
DEPOSIT & PAYMENT
A 30% deposit is required to hold a reservation. The remaining balance is due 10 weeks prior to the start of the trip. If you book a trip within 10 weeks of the starting date, the entire balance is due upon booking. If full payment is not received 10 weeks prior to the start of the trip, we reserve the right to cancel your reservation and will refund your deposit minus a $100 processing fee.
If you cancel before the balance due date (10 weeks or more before the start of the trip), a full refund is given minus a $100 processing fee per person. For custom trips, if one or more members of a private group cancel for such a refund, resulting in a smaller group and lower guest to guide ratio, the remaining members agree to pay the higher cost per person of the lower guest to guide ratio.
If you cancel after the balance due date (less than 10 weeks prior to the start of the trip), or if you are prevented, after the balance due date, from participating in the trip due to exigent circumstances such as injury, illness, family emergency, or travel delays, no refund will be given.
CANCELLATIONS OR CHANGES BY SMART MOUNTAIN GUIDES
All trips offered by Smart Mountain Guides (including Steep Skiing Camps Worldwide) are subject to inherent risks and hazards including, but not limited to inclement weather, avalanche conditions, route conditions, and your own abilities or fitness. Smart Mountain Guides reserves the right to change the location or itinerary of any trip as necessary to reduce risk. No refund will be given for changes in the itinerary due to weather, conditions, or circumstances within or affecting your group such as fitness and technical ability. In the unlikely event that Smart Mountain Guides is forced to cancel a trip due to inadequate bookings, guide cancellations, or for any other reason, a full refund will be given. In such cases, SMG is not responsible for expenses incurred by the client in connection with the trip such as airfare, car rental, equipment purchases, etc.
Covid-19 exception to the cancellation policy. If your trip is cancelled because we are unable to run it due to Covid-19 restrictions in the host country, you will be given the option to reschedule to a future date within 2 years of the original trip. We will also allow you to reschedule to future dates if, due to Covid-19 restrictions you are unable to travel because the government in your country of residence does not allow travel to the country where the trip is taking place or vice versa, and you inform us prior to 2 weeks before the start of the trip. If Covid-19 travel restrictions cause you to cancel within 2 weeks of the start of the trip, we are not obligated to offer any refund or rescheduling option. If you have to cancel for any other reason including government advisories against travel but not forced restrictions, our normal terms and conditions will apply.
We recommend that you purchase Trip Cancellation, Interruption and Emergency Evacuation Insurance to protect yourself in case you need to cancel after the balance due date, cannot participate due to exigent circumstances or require emergency evacuation. These insurance options vary depending on where you live, so you need to determine which option is best for you. Following the onset of the Covid-19 pandemic, some insurance providers are offering “cancel for any reason” policies, which usually must be purchased within a couple weeks of making the deposit for the trip. We do not work directly with any insurance agents, so we encourage you to do your own research to find the best option. However, here are a few companies that have been recommended to us.
